Membership & Cancellation policy
The policy explains the rules for membership, payments, communication, and cancellations at HVV Football Factory. By signing up, members automatically agree to all terms in the policy.
Members agree to pay their membership fees through the club’s collection company (Nikki). If payments are not made, participation may be suspended.
Memberships are valid for the selected season or period, and after the cancellation window has passed, the full fee must be paid.
All official communication, including cancellations, must be sent to the club’s official email address. Messages through coaches, captains, social media, or verbal conversations are not considered valid.
Members are responsible for providing accurate information, following club rules, respecting others, and keeping track of important dates such as cancellation deadlines.
Cancellations are only allowed within 30 days of signing up and must be requested by email. After 30 days, the full membership fee remains due, with no refunds, except in special cases such as serious injury or relocation (with valid proof). The club has the right to approve or reject these exceptional requests.
If a member does not want to continue for the next season, they must inform the club by the 1st of September. If no notice is given, the membership will automatically renew, and the same cancellation rules will apply

Social Media and Filming Policy
This policy explains how HVV Football Factory records games and training sessions and how that footage may be used. By participating in club activities, players, coaches, staff, and parents consent to filming as described in the policy.
Footage is recorded mainly to support coaching and performance analysis, helping players improve. It is also used for promotional and marketing purposes, such as highlights and posts on the club’s social media platforms (including YouTube, Instagram, and Facebook).
The club aims to follow GDPR rules and only collect footage necessary for these purposes, focusing mainly on match action and group shots rather than close-ups, especially for younger players.
The club will not tag or name individuals in social media posts without explicit consent, particularly for underage players. Social media channels are moderated to maintain a respectful environment.
Under GDPR, individuals have rights regarding their personal data, including video footage. These rights include being informed, accessing their data, correcting inaccurate information, requesting deletion of footage, restricting processing, data portability, and objecting to the use of their data (including for promotional purposes).
Requests related to data rights or footage removal must be sent to the club via email. Individuals can also opt out of social media filming at the start of the season by informing a coach or team manager. The club will respond to data-related requests within one month.
